Step-by-step instructions
Step 1: Open ChatGPT
Open your web browser and go to chat.openai.com. Sign in with your account. You will see a text box at the bottom of the screen.
Step 2: Describe what you want to say
In the text box, explain what your email should say. Include who it is for and the purpose. For example:
- “Write a polite email to my doctor to cancel my appointment on Thursday”
- “Write a short email to my neighbour thanking them for watching my cat”

The more detail you give, the better the result. Press Enter to send.
Step 3: Read the draft carefully
ChatGPT will write a complete email for you. Read it from beginning to end. Check that:

- There are no details that you did not provide (AI sometimes invents facts)
Step 4: Ask for changes if needed
If something is not right, ask ChatGPT to fix it. For example:
- “Make the tone more friendly”
- “Remove the part about the weekend”
- “Add that I need a response by Friday”
- “Make it shorter”
ChatGPT will rewrite the email with your changes.
Step 5: Copy the email
Once you are happy with the draft, copy the text. Select all the text with your mouse or finger, then right-click and choose “Copy” (or press Ctrl+C on a computer).
Step 6: Paste into your email app and review before sending
Open your email app (Gmail, Outlook, Yahoo Mail, or whatever you use). Start a new email, fill in the recipient’s address and subject line, then paste the text into the body of the email (right-click and “Paste” or press Ctrl+V).
Read it one more time before you press Send. Make any final changes you want. Add your name at the bottom if the AI did not include it.

- Start simple. You do not need to write a perfect prompt. Just describe the situation in plain words.
- Ask for different versions. If you do not like the first draft, say “Try a different approach” or “Write another version.”
- Never send without reading. AI sometimes adds facts or details that are not true. Always check.
