How to Connect a Printer to Your Computer

Step-by-step instructions

Step 1: Unbox and power on the printer

Take the printer out of its box and remove all packaging tape and protective materials. Connect the power cable to the printer and plug it into a wall outlet.

Press the power button to turn on the printer. Wait for it to finish starting up. Most printers will show a light or display a message when ready.

Step 2: Choose your connection method

You have two options:

  • USB cable (simpler, printer must be near the computer)
  • Wi-Fi (no cable needed, printer can be anywhere in your home)

If you are unsure, start with USB. It is the easiest method.

Step 3: Connect with a USB cable

Plug one end of the USB cable into the printer and the other end into your computer.

On Windows: Your computer should detect the printer automatically. You will see a notification that says a new device is being set up. Wait a minute for it to finish.

On Mac: Go to System Settings > Printers & Scanners. Your printer should appear in the list. Click Add Printer if it does not show up automatically.

Step 4: Connect with Wi-Fi

First, you need to connect the printer to your Wi-Fi network:

  1. On the printer, look for a Settings or Network menu (use the printer’s screen or buttons).
  2. Select Wi-Fi Setup or Wireless Setup Wizard.
  3. Choose your Wi-Fi network from the list.
  4. Enter your Wi-Fi password using the printer’s screen.
  5. Wait for the printer to confirm it is connected.

Now add the printer to your computer:

On Windows: Go to Settings > Devices > Printers & scanners > Add a printer. Your printer should appear. Click it and select Add device.

On Mac: Go to System Settings > Printers & Scanners > Add Printer. Select your printer from the list.

Step 5: Print a test page

Open any document or photo on your computer. Press Ctrl + P (Windows) or Cmd + P (Mac) to open the print window.

Make sure your printer is selected in the dropdown menu. Click Print.

If the page comes out correctly, your printer is set up and ready to use.

Step 6: Set it as your default printer

If you only have one printer, set it as the default so your computer always uses it:

On Windows: Go to Settings > Devices > Printers & scanners. Click your printer and select Set as default.

On Mac: Go to System Settings > Printers & Scanners. Click the Default printer dropdown and choose your printer.

Tips

  • Keep your printer connected to power even when not in use. Many printers run automatic maintenance to keep the ink from drying out.
  • If printing is slow over Wi-Fi, move the printer closer to your router.
  • You can also print from your phone. Most printers support AirPrint (iPhone) or Google printing (Android) over Wi-Fi.

Do I need to install something to use my printer?

Most modern printers are plug-and-play on Windows and Mac. Your computer will automatically find and install what it needs. If it does not, the printer usually comes with a CD or a website where you can download the software.

Can I connect a printer without a cable?
